The portal opens in your phone browser at the same address as on a computer — there is no app to install. When the window is 767 pixels wide or less, the interface rebuilds itself: one column instead of three, a bottom navigation bar, and actions in sheets that slide up from the bottom. On a tablet or a wide screen the usual three-column interface stays.
The data, permissions and limits are the same. Your role, space and plan decide what you see, exactly as on a computer.
#The bottom bar
Four buttons, always in the same place. The set does not change from screen to screen — only what your role gives you changes.
| Button | Who sees it | What it opens |
|---|---|---|
| Search | everyone | The main search screen |
| Articles | everyone | An editor gets the working article list, a reader gets the portal catalogue |
| Create | Editor and above | The «What are we creating?» sheet |
| Search history | a reader — instead of «Create» | Your previous questions |
| Menu | signed-in users | The main menu |
| Sign In | anonymous visitors — instead of «Menu» | The sign-in page |
The Menu button carries the unread-notification counter — notifications are reachable only from there.
In the article editor and on the reading screen the bottom bar is hidden: the bottom of the screen belongs to their own tools, and the way out is the «Back» button in the top bar.
#The top bar
- The name on the left opens the main menu.
- The bell — notifications.
- The avatar — your email, interface language, light or dark theme, My Profile, Switch space (when you have more than one) and Logout.
#The search screen
The search scope is shown as a button above the field: the current space and, when the search is narrowed, the number of conditions. Next to it is a question mark that opens How this works: the remaining quota as a bar, three pairs of «ask like this → not like that», and a «what is worth knowing» section.
History under the field. The three latest questions, with All search history as the fourth row (clearing lives there, so a destructive action does not sit next to a frequent one). A history row shows how many articles you opened back then and expands into that list; tapping it brings the previous answer back. While the history is empty, Start here with example questions takes its place.
Where to search narrows the search inside the current space:
| Condition | What it does |
|---|---|
| Collection | Limits the search to a branch of the catalogue; you pick it in a tree with search by name |
| Article language | Narrows the sources. The answer still comes in the language of your question |
| Source type | Only editor articles, only imported files, only an external source |
The space is not switched here — that is what Switch space in the avatar menu is for. A search always runs inside a single space.
Answer sources. Under the answer there is a collapsed Answer sources row; it opens into a sheet with the articles the answer was built from, their match percentage and a Related by topic block. Tapping an article opens it.
#Reading an article
An article opens full screen. The top bar holds Back, Contents (it appears when there is more than one heading), Aa, search in the article and ….
#«Aa» — view and text size
Four text sizes and two reading modes:
| Mode | How it reads |
|---|---|
| Flow | Ordinary scrolling |
| Pages | Page turning: one page equals one screen |
The setting is remembered and applies to every article after it — you do not pick it again each time.
The page mode splits the text with the same engine as printing: tables are not torn in half, and the table header repeats on every page. The page is sized to the screen rather than to A4 — with true A4 geometry the text on a phone would shrink past readability. The exact A4 format stayed in Print and A4 preview.
At the bottom you get the N of M counter and the page arrows. The Helpful / Not accurate rating appears in that same row on the last page.
#Search in the article
The search bar rises above the keyboard, shows the number of matches and moves to the next and previous one. Matches are highlighted in both reading modes.
#«…» — actions on the open article
Edit (Editor and above), Find in article, Add to bookmarks, Share, Invite to article, Print and A4 preview, Export, Copy link, Info, Delete. The set depends on the role: a guest without an account keeps viewing and printing.
#The «Articles» screen
Three modes switch with the icons on the right of the row under the title:
| Mode | What it shows |
|---|---|
| List | A flat list of the articles in scope |
| Tree | Collections with expandable branches |
| Voice notes | Available with a plan that includes voice notes and the Editor role or above |
The search field on the left searches inside the mode you are in: an article, a tree node or a note.
Filters — the funnel icon in the screen header, one for all three modes:
- Show: All articles · Unpublished · Mine (you are the author or the last to edit) · Bookmarks
- Access: public, internal, drafts
- Filter by language — only the languages that articles actually exist in
Inside a section the conditions are combined with «or», between sections with «and»; the Show N button at the bottom carries the number of matching articles.
The row under the title shows the current space and, in list mode, leads to the collection picker.
When the scope contains articles that are not in search (never published or unpublished), a Not searchable: N strip appears above the list — tapping it shows exactly those articles.
#Three ways to work with a list row
| Action | What happens |
|---|---|
| Tap | Open the article for reading |
| «…» on the right | The full set: view, edit, share, invite, export, print, info, move, copy, delete |
| Swipe left | Quick actions: edit and delete for an editor, «share» for a reader |
The swipe is only a shortcut: everything the gesture offers is also in the … menu.
Batch export of several articles at once is available on a computer.
#The «Create» button
It opens the What are we creating? sheet with four paths:
| Path | Where it leads |
|---|---|
| Dictate an article | Straight to voice recording — with a plan that includes voice notes and the Editor role or above |
| New article | An empty editor |
| Import a file | Import of PDF, DOCX, Markdown |
| Answer a gap | The questions that are waiting for an article |
#Voice notes on a phone
Voice notes live as the Voice notes mode inside the «Articles» screen, exactly as on a computer. They are filtered with the same funnel: All / Linked / Drafts / Private.
Every note shows its transcription state:
| State | What it means |
|---|---|
| Ready | The text has been transcribed |
| Not transcribed | Transcription has not been run yet |
| Transcribing | The recording is being processed — it takes roughly as long as the recording itself |
| Transcription failed | The audio is intact, only the transcription broke — you can run it again |
#The main menu
It opens with the Menu button or by tapping the name in the top bar:
- switches for your organisation and space;
- back to search;
- Content (Editor and above): Home, Questions, Articles;
- Management (Admin and above): AI Cache, Team;
- To the website, Documentation, Support;
- your email, My Profile, Logout.
The Home screen shows tiles with the number of articles and questions, the share of successful answers and the storage in use, a quota card and the knowledge-base health score. It is open to the Editor role and above in the space: a reader is not shown these numbers, neither as a menu item nor by a direct link.
#Your own branding
On a plan with white-label the phone shows your brand instead of ours: a header band in your colour, your logo and name, a splash screen at start-up, the browser system bar coloured to match the band, and — when the portal is added to the home screen — your icon and your name.
The band colour is picked so that the text on it stays readable with any brand colour, including yellow and light green.
#Connection and offline
When the network drops, a No connection — offline mode strip appears at the top, and Connection restored when it comes back. An article you already opened stays on the screen.
