Side menu → Articles — the central screen for working with knowledge base content. Here you see the whole list of articles with their state, source, language and quality, and can quickly create, edit, move, share and delete them.


#What an article is

An article is the basic unit of knowledge in LiKE: a separate base document that AI search works on. When saved, an article is split into fragments (chunks) and converted into a vector representation (embeddings) so the AI can find it and build answers from it. Each article has a title, content, language, collection, publication state, access (visibility), source, quality score and a slug (its identifier in the URL).

An article can be created in the built-in LiKE editor or obtained from an external source — by importing a file/URL, by synchronization (Wiki.js, Confluence, Notion, GitHub/GitLab/Gitea) or from an audio note. The "Articles" screen is the central place where the whole list, state and metrics of articles are visible, and from which they are managed.

Access to the section and to actions depends on your role: the list is seen by members with access to the space, while editing/creating/moving/deleting is available to Editor+ in the article's space (the organization Owner and Admin — in all spaces).


#Article list view modes

In the top right corner there is a switcher of three list modes (Table / Tree / Commander), and next to it separate "Audio notes" (Audio mode) and "View" (Reader mode) buttons:

Table Searching, filtering, sorting a large list. The best mode if you know what you're looking for and want to compare columns (language, quality, source).
Tree Hierarchical navigation across spaces and collections. Drag & drop to move articles. Great for auditing the base's structure.
Commander A two-pane mode like in file managers. Two different spaces/collections side by side — bulk moving between them.
Reader Full-screen reading of an article with pagination (A4) and the space tree on the left for quick jumps between articles. Handy for proofreading long materials.
Audio Working with audio notes: dictating or uploading audio, transcription and structuring it into an article. More — Audio notes.

The selected mode is remembered in session storage — after a reload the page opens in the same mode.

In addition, there is a "Pages" (A4) mode — a preview of the article in A4 format with pagination. It opens from any mode via the 📄 button in the article's actions. Used to prepare for printing / exporting to PDF.

Headers with the icon are sortable (a click changes the direction). Actions on a row — via right-click or the menu (see "Article actions" below). "Views" (how many times people opened the article) and "Chunks" (how many fragments it is split into for search) are shown in the "Article info" window.


#Badges: publication state (publish_state)

The UI uses a single publish_state field (replacing the old visibility). An article can be in one of four states — the corresponding colored dot is shown at the start of the row and as a badge:

Published
The article is visible in search and AI answers. All edits are saved and active.
Has unpublished edits
Search shows the previous version; the editor shows the new one. Click "Publish" in the editor to release it.
Unpublished
Was published, but taken down by the author. The content is kept but not shown in search. Can be published again.
Draft
Never published. Visible only to the author and space editors.

#Additional visibility badge

Besides the publication state, an article has an access parameter (for the public KB / widget):

🌐 Public — visible to anonymous users via the public widget and the portal site
🔒 Internal — for team members only (requires authentication). This is the default value.

Where to change visibility: in the article editor → the bubble in the header → the "Visibility" toggle button. There is also bulk visibility change via a bulk operation (see below).

Important about public articles. You can set an article to Public only if it lives in a corporate space. In private and personal spaces publishing is blocked — this is a safeguard: you can't accidentally "push" an article outside from a closed space. Details — Public knowledge base.


#"Tree" mode

On the left — navigation across spaces, collections and subcollections; on the right — the list of articles in the selected node.

Capabilities:

  • Drag & drop articles between collections (with highlighting of the target collection)
  • Context menu on a collection — rename, create a subcollection, change the icon/color, delete (to the Trash)
  • Double-click on a collection — inline rename
  • Expanding / collapsing nodes ( / )
  • Inline filter in the tree header — quick search by collection and article names
  • Selection state — clicking an article opens its details in the right panel + Edit / Pages / buttons

Most convenient for auditing the structure — you see the "forest": where collections are overflowing, where orphans hang in a space's root, where there are many empty folders.


#"Commander" mode

A two-pane mode like in Total Commander / FAR Manager. Each pane is independent navigation across spaces / collections with its own filter and sorting.

Capabilities:

  • Each pane has its own SpaceSwitcher + collection breadcrumb
  • Drag & drop between panes to move articles
  • Bulk selection via Shift/Ctrl + click — select ranges and pick individually
  • Bulk action buttons at the bottom: "Move →", "← Move", "Copy", "Delete"
  • Per-pane inline filter and sorting — independent

Why you need it:

  • Global content reorganization (for example, spread 200 articles from one collection across thematic ones)
  • Duplicating a structure (create a similar hierarchy in another space)
  • Cross-space operations (move some articles into a new public space)

#"Pages" mode (A4 preview)

The 📄 button in any mode opens a modal with a preview of the article in A4 format with pagination.

Why you need it:

  • Print preparation — see how the article will lay out on a physical page, where page breaks will be, whether a heading got "torn off" from its text
  • PDF export preparation — the preview matches what you'll get when exporting to PDF
  • Reading long articles — a natural "book" format with pagination, without endless scrolling
  • Branded PDF (Enterprise) — a preview with the organization's logo, color and headers/footers

Controls in the preview:

  • ◀ /▶ buttons — flip through pages
  • Zoom — decrease / increase the scale
  • Download PDF — exports exactly what you see
  • Close — return to the list

This is not a separate view mode for everyday work — it is a tool for specific printing and PDF-preparation tasks.


#Search and filters

In "Table" mode a full filter panel is available:

Active filters are shown as colored "chips" in the top panel — a click on clears one, the Reset filters button clears all at once. A counter of active filters is shown on the badge button above the list.

In "Tree" and "Commander" modes — a simplified inline filter (by name + basic dropdowns) inside each pane, without a separate toolbar.

For articles from external sources (Wiki.js, Confluence, Notion, GitHub/GitLab/Gitea) editing is blocked. To change the content, edit the original in the source and run synchronization.


#Article info

The "Info" item (or the i icon) opens a window with all of the article's metadata:

Personal data. When you make articles public (one at a time or in bulk), LiKE scans them for personal data — if any is found, publishing is paused until you confirm. See Personal data check before publishing.


#Creating and uploading content

In the top right corner are the buttons:

  • "+ Create article" — opens the editor; for a new article the editor offers to choose a template (blank, AI Writer or a ready-made template). Available to Editor+ in the space.
  • "Import" — uploading ready files (PDF / DOCX / MD / TXT / RTF) or by URL (see File import).
  • "Audio notes" — dictate or upload audio and turn it into an article (see Audio notes).
  • "View" — open Reader mode.

#Tooltips and hints

Most icons without text have a tooltip on hover (after ~350 ms). This is especially useful for action buttons, badges and publication-state dot indicators — hover the cursor to read the exact meaning and hotkeys.
